Sensitive information
Being on a Gaydio list could suggest you're LGBTQ+, so we treat all our listener data as sensitive.
- We don't ask about your sexual orientation or gender identity, and you never have to tell us.
- We only share your contact details with Meta for advertising if you've given explicit consent for that, separately from anything else.
- If you tell us about access or support needs for an event or course, we use that only to support you. We ask for your explicit consent first, and we delete it within 2 years of the event.
- We never sell your data.
How we use it, and why we're allowed to
Data protection law says we need a lawful basis for each use. Here's ours.
| What we do | Lawful basis |
|---|---|
| Run your VIP club account | Contract |
| Run competitions and deliver prizes | Contract |
| Reply when you contact us | Legitimate interests |
| Send you marketing by email or text | Consent |
| Stream to you and show local content | Legitimate interests |
| Measure how our website is used (Google Analytics) | Consent, through cookie settings |
| Measure our Facebook and Instagram ads, and show ads to people who visited our site (Meta Pixel) | Consent, through cookie settings |
| Tell Meta when someone who filled in a lead form books with us | Consent, given on the lead form |
| Use your contact details to find you, or people like you, on Meta (Custom Audiences) | Explicit consent |
| Follow up lead-form enquiries and bookings | Legitimate interests, and steps towards a contract |
| Run events, courses and volunteering | Contract or legitimate interests |
| Support your access needs | Explicit consent |
| Manage advertiser and partner relationships | Contract or legitimate interests |
| Keep our systems secure and prevent fraud | Legitimate interests |
| Keep financial records and meet our legal duties | Legal obligation |
Where we rely on legitimate interests, we've weighed our interest against your privacy. Ask us and we'll explain the balance. You can withdraw consent at any time, and that won't affect anything we did before.
Advertising with Meta (Facebook and Instagram)
We share some information with Meta Platforms Ireland Limited to measure our ads and reach the right people. We only do this with your consent.
- Meta Pixel. If you accept advertising cookies, a small piece of code on our website tells Meta which pages you visit and actions you take, such as entering a competition. We use this to measure our ads and show ads to people who've visited our site.
- Lead forms and bookings. If you fill in one of our lead forms on Facebook or Instagram and later book with us, our systems tell Meta about the booking. This tells us which ads work. We send your email address and phone number in hashed form, which means they're scrambled into a code before they leave us.
- Custom Audiences. If you've opted in, we may upload your hashed email address or phone number to Meta. Meta uses them to show you our ads, or to find people with similar interests. Meta uses the hashed details for matching only.
For some of this, Meta acts on our instructions. For some, it's a controller in its own right. You can read how Meta uses data in Meta's Privacy Policy.
To stop it: change your cookie settings on our website, withdraw consent by emailing privacy@gaydio.co.uk, or change your ad preferences in your Facebook or Instagram settings.
Who we share it with
We use trusted suppliers to run our services. They can only use your data on our instructions, under a contract.
| Supplier | What they do for us |
|---|---|
| Aiir | Hosts our website, app accounts, VIP club, competitions and our text shortcode |
| Cloudflare | Hosts our own systems and protects our websites |
| Sharp Stream | Delivers our audio streams |
| Salesforce | Our customer records for bookings, advertisers and partners |
| Mailchimp | Sends our emails |
| Microsoft | Our email and files |
| Website analytics | |
| Meta | Advertising, as explained above |
| Xero | Our accounts |
| Stripe, PayPal and GoCardless | Take card, PayPal and Direct Debit payments |
Make Me A Winner, the competition we run on air, is operated by Bauer Media. If you enter it, Bauer handles your entry under its own privacy notice.
We only share your details with partner companies for their own marketing if you opt in on the form you're filling in, and the form names them. We'll also share information when the law requires it, for example with the police or HMRC.
Transfers outside the UK
Some of our suppliers, including Meta, Google, Salesforce, Mailchimp, Microsoft and Cloudflare, may process data in the US or the EU. When they do, it's protected by the UK government's adequacy rules, the UK-US Data Bridge, or the UK's approved contract clauses. Ask us for details of the safeguard for a particular supplier.
How long we keep it
We keep data only as long as we need it, then delete it or make it anonymous.
| Data | How long |
|---|---|
| VIP club account | While it's active, then 2 years after your last login |
| Competition entries | 2 years after the competition closes |
| Texts to our shortcode | 1 year |
| Marketing preferences | Until you unsubscribe. We then keep your email or number on a do-not-contact list so we don't contact you again |
| Lead-form enquiries | 2 years after our last contact with you |
| Contact lists uploaded to Meta | Removed when the campaign ends, and no more than 2 years after upload. If you withdraw consent, you won't be included in any further uploads |
| Access and support needs | Deleted within 2 years of the event or course |
| Advertiser and partner records, and payments | 6 years after the last transaction, for tax law |
| Website analytics | 14 months |

Cookies are small files saved on your device. We only use cookies that aren't essential if you agree to them, and you can change your mind at any time in the cookie settings on our website.

| Advertising | Measuring our ads and showing ads to people who visited | Meta Pixel (_fbp, _fbc) | Yes |
Embedded content such as YouTube videos or social media posts may set its own cookies. We'll only load it once you've agreed to it.
